Privacy Policy
How OverBiz collects, uses, and protects information when you use EspressOS.

This Privacy Policy explains how OverBiz ("we", "us", "our") handles information in connection with EspressOS — our point-of-sale, inventory, and reporting software for independent cafés. It applies to our marketing site, the EspressOS web admin, and the EspressOS tablet app.
OverBiz is a software studio based in the Philippines. We process personal data in accordance with the Philippine Data Privacy Act of 2012 (Republic Act No. 10173) and its implementing rules.
Two roles, two kinds of data
EspressOS handles two distinct categories of data, and our role differs for each:
- Your account and our relationship with you. When you sign up and run a café on EspressOS, we are the personal information controller for the data that identifies you as our customer.
- The business data you enter into EspressOS. This includes records you create about your own café — including any details you record about your customers (for example, loyalty members). For that data you remain the controller; we act as your processor and handle it only to provide the service to you. You are responsible for having a lawful basis to collect it and for informing your own customers as the law requires.
Information we collect
- Account information — your name, email address, and sign-in credentials. Authentication is handled by our provider, Clerk; we do not store your password ourselves.
- Café and business data — branches, products, modifier groups, inventory and ingredients, orders, expenses, staff records, and customer or loyalty records that you or your staff enter into EspressOS.
- Device and usage data — app version, identifiers for the tablets you pair, sync metadata, and log data we use to keep the service running and to diagnose problems.
- Communications — messages you send us by email or through the contact form, and our replies.
We do not collect or store payment card details. Subscriptions are invoiced and paid manually (bank transfer, GCash, or cash), so no card data passes through EspressOS.
How we use information
We use the information above to operate and sync the service, provide support, send service and billing communications, keep EspressOS secure, improve the product, and comply with our legal obligations.
How we share information
We do not sell personal data. We share information only with:
- Service providers (sub-processors) who help us run EspressOS — for example Clerk for authentication, and our hosting providers for the application and database. They may process data only on our instructions.
- Authorities, where we are required to by law or valid legal process.
Where data is stored
EspressOS is offline-first: café data is stored locally on your paired tablets and synced to our cloud database when a connection is available. Some sub-processors may store or process data on servers located outside the Philippines; where that happens we take steps to keep the data protected.
Data retention
We keep account and business data for as long as your café has an active EspressOS account, and for a limited period afterwards so you can recover or export it. After that period we delete or anonymise it, unless we are required to keep it longer by law.
Your rights
Under the Data Privacy Act you may ask to access your personal data, correct inaccurate data, object to certain processing, request erasure or blocking, and request a copy of your data in a portable form. Security
We protect data with encryption in transit, access controls, and operational practices appropriate to a service of this size. No system is perfectly secure, but if a breach affects your personal data we will notify you and the relevant authority as the law requires.
Children
EspressOS is a business tool and is not directed at children. We do not knowingly collect personal data from anyone under 18.
Changes to this policy
We may update this policy as EspressOS evolves. When we do, we will revise the "Last updated" date above and, for material changes, let active customers know by email.
